ADMINISTRATIVE PROGRAM EVALUATION

Community Relations

Goal: To increase and improve community involvement, understanding and attitudes toward the processes of public education.

Evaluation: Performance of this job will be evaluated on the basis of annual community relations goals.

Evaluation Criteria:

Does your school district have a written, clear policy regarding public relations? Does it express the purposes of the PR program and provide for the funding and resources necessary to carry it out?

The community relations program is established through policies KB - Public Information Program and KC - Public Involvement in Decision Making. The purposes of the communication program are covered in policy; funding and resources are applied for in the annual budgeting process. Our budget has been sufficient to carry out our current program.

Is there a written plan or strategy for carrying out PR activities? Is so, do the goals of the plan support the school district’s overall mission and goals?

The mission of the PR department is to keep the parents and community up-to-date on what is taking place in our schools.

Our goals are as follows:

  • Increase awareness about the duties, responsibilities and procedures of the Board of Education.
  • Coordinate recognition program for students, staff and community.
  • To promote school activities, events and support for education in the community.
  • Meet the information needs of parents and the community.

Does the program use a variety of communication channels appropriate to getting the message across?

The Pleasant Hill Schools publish a number of publications to provide a variety of communication avenues to keep parents, patrons, students and staff informed and involved in our school.

  • Cable Channel 15 : The District operates a full time cable television station which offers programming to all Pleasant Hill patrons with cable access from Comcast Cable. School news, message board, sporting and special events in the district are posted.
  • Daily Bulletins / Announcements: Daily Bulletins / Announcements are posted and maintained on our website by 8am.

  • Press Releases, Photo Opportunities : The Pleasant Hill Schools provide weekly information to area newspapers: the Pleasant Hill Times.
  • School Newsletters : Primary and Intermediate Schools publish a monthly newsletter with information about their individual school. The Elementary School publishes a weekly newsletter. The Middle School and High School publish a newspaper with information about their schools activities.
  • The Connection : The District publishes a newsletter (Fall, Winter, Spring). An electronic version is emailed to the parents through our student database system (SISK12) and posted on the district website and can be accessed at http://www.pleasanthill schools.com/Community% 20Relations.htm .

  • Email electronic communications for parents, through our student database system (SISK12). It is our goal to keep families informed of issues as they occur.
  • Email internal communications for staff. It is our goal to keep staff informed of issues relevant to the district as they occur.
  • Parent Portal : We currently have 2175 active students in the Pleasant Hill District. 2228 parents are enrolled in the Parent Portal:
  • High School – 680 active students but 787 with parent agreements
  • Middle School – 335 active students but 395 parent agreements
  • Intermediate School – 339 active students but 389 with parent agreements
  • Elementary School – 302 active students with 299 parent agreements
  • Primary School – 519 active students with 358 parent agreements
  • ALERTNOW: Text messages are sent to parents/guardians mobile device for reminders of activities, vacation days, early dismissals, school closings and money needed for their child’ s meal account. Listed telephone numbers are used so parents are asked to keep the office informed throughout the school year of any changes to their address or phone number.
  • Rooster Alerts: Email and text messages are sent to mobile device, wireless PDA or pagers for High School and Middle School sports event reminders, cancellations or postponements. Parents are asked to sign up, if interested. They are advised to check their cell phone plan for any text message fees provided by their wireless provider.
  • Bulletin Board : The Pleasant Hill R-III School District will post approved informational flyers from not-for-profit organizations or local entities with an established partnership with the District on the district website. By posting this information on the website, organizations will have the opportunity to reach families of middle school and high school students as well as families of elementary, primary and intermediate students. Organizations will also be able to reach families without the expense of printing thousands of pre-sorted flyers. Does the PR program encourage, receive, analyze and utilize feedback on its activities?


The District understands that education is a collaborative effort involving students, parents and schools. When families and schools work together to support learning, everyone benefits. Communication is the foundation of this effective partnership.

    • Middle School – daily (Daily Bulletin / Announcements and other activities as needed)
    • High School – daily (Daily Bulletin / Announcements / Athletics and other activities as needed)
    • Channel 15 is updated as needed.
