The Connection
The District publishes a quarterly newsletter mailed to 6000 patrons in Pleasant Hill, Harrisonville, Strasburg and East Lynne.

ADMINISTRATIVE PROGRAM EVALUATION

Community Relations
Goal: To increase and improve community involvement, understanding and attitudes toward the processes of public education.
Evaluation: Performance of this job will be evaluated on the basis of annual community relations goals.
Evaluation Criteria:

  1. Does your school district have a written, clear policy regarding public relations? Does it express the purposes of the PR program and provide for the funding and resources necessary to carry it out?

The community relations program is established through policies KB - Public Information Program and KC - Public Involvement in Decision Making. The purposes of the communication program are covered in policy; funding and resources are applied for in the annual budgeting process. Our budget has been sufficient to carry out our current program.

  1. Is there a written plan or strategy for carrying out PR activities? Is so, do the goals of the plan support the school district’s overall mission and goals?

The mission of the PR department is to keep the parents and community up-to-date on what is taking place in our schools.

Our goals are as follows:

  • Increase awareness about the duties, responsibilities and procedures of the Board of Education.
  • Coordinate recognition program for students, staff and community.
  • To promote school activities, events and support for education in the community.
  • Meet the information needs of parents and the community.
  1. Does the program use a variety of communication channels appropriate to getting the message across?

The Pleasant Hill Schools publish a number of publications to provide a variety of communication avenues to keep parents, patrons, students and staff informed and involved in our school:

  • Annual Report : The School District publishes a 12 page newsletter with information about each school and the District. An electronic version is posted on the district website and can be accessed at http://www.pleasanthillschools.com/2006%20Report%20Card.pdf
  • Cable Channel 15 : The District operates a full time cable television station which offers programming to all Pleasant Hill patrons with cable access from Comcast Cable. School news, message board, sporting and special events in the district and individual school programs and events are broadcast.
  • Daily Bulletins / Announcements: Daily Bulletins / Announcements are posted and maintained for the Elementary School, Intermediate School, Middle School and High School on our website.
  • Trumba District Calendar: A District calendar is maintained with each schools’ activities on our website. You may view it electronically at: http://www.pleasant hillschools.com/District%20Calendar.htm (Web Server reports show that there were over 20,600 hits)
  • Press Releases, Photo Opportunities : The Pleasant Hill Schools provide weekly information to the area newspapers: the Pleasant Hill Times and the Cass County Conservative.
  • School Newsletters : Primary and Intermediate Schools publishes a monthly newsletter with information about their individual school. The Elementary School publishes a weekly newsletter. The Middle School and High School publishes a newspaper with information about their schools activities.
  • The Connection : The District publishes a quarterly newsletter mailed to 6200 patrons in Pleasant Hill, Strasburg and East Lynne communities through the Pleasant Hill Times and the PennySaver. An electronic version is posted on the district website and can be accessed at http://www.pleasanthillschools.com/Community% 20Relations.htm.
  • The Latest : Monthly newsletter sent electronically through email with up to date information on School Board meetings. An electronic version is posted on the district website and can be accessed at http://www.pleasanthillschools.com/Community%20Relations.htm.
  • Email internal communications for staff. It is our goal to keep staff informed of issues relevant to the district as they occur.
  • Parent Link : We currently have 1756 students / parents enrolled in the Parent Link (High School – 648 active students but 578 with parent agreements; Middle School – 355 active students but 314 parent agreements; Intermediate School – 388 active students but 304 with parent agreements; Elementary School – 335 active students with 279 parent agreements; Primary School – 520 active students with 281 parent agreements.) Web Server reports show that there were 28,935 hits.
  • Bulletin Board : The Pleasant Hill R-III School District will post approved informational flyers from not-for-profit organizations or local entities with an established partnership with the District on the district website. By posting this information on the website, organizations will have the opportunity to reach families of middle school and high school students as well as families of elementary, primary and intermediate students. Organizations will also be able to reach families without the expense of printing thousands of pre-sorted flyers. (Web Server reports show that the Bulletin Board had 1,360 hits).
  1. Does the PR program encourage, receive, analyze and utilize feedback on its activities?

The District understands that education is a collaborative effort involving students, parents and schools. When families and schools work together to support learning, everyone benefits. Communication is the foundation of this effective partnership.

  1. Does the PR professional monitor external communications from all campuses and departments, including newsletters, cable TV and Internet sites?
  • Principals monitor individual buildings

  • Building websites are updated as follows:
    • Primary School – monthly (Information from Monthly Primary Press)
    • Elementary School – daily (Daily Bulletin / Announcements and weekly Banner Newsletter)
    • Intermediate School – daily (Daily Bulletin / Announcements and monthly newsletters)
    • Middle School – daily (Daily Bulletin / Announcements and other activities as needed)
    • High School – daily (Daily Bulletin / Announcements and other activities as needed)
  • Channel 15 is updated every week on Tuesday and Thursdays.
